ADMINISTRATIVE ROLES
Human Resources Specialist
Reports to: Human Resources leadership & Chief Operating Officer (COO)
FLSA Status: Non-Exempt
Position Overview
This position provides high-level administrative support to the Human Resources Department and the Chief Operating Officer (COO). The role is essential to ensuring smooth operations, enhancing organizational effectiveness, and managing special projects that contribute to the success of the team. The ideal candidate will demonstrate sound judgment, strong initiative, and the ability to manage multiple priorities effectively.
Essential Functions & Key Responsibilities
- Efficiently manage and coordinate schedules for HR and the COO, including meetings, appointments, reports, etc.
- Draft, review, and edit various documents, presentations, reports, and memos, ensuring accuracy and clarity.
- Draft and prepare correspondence for internal announcements and meetings.
- Assist in overseeing and coordinating special projects, initiatives, or departmental activities led by HR and the COO.
- Manage and prioritize tasks, deadlines, and deliverables for HR and COO.
- Assist with planning and coordinating internal events hosted by the firm, including liaising with service providers.
- Maintain confidentiality and discretion while handling sensitive information, strategic plans, and executive-level discussions.
- Represent the Firm and the leadership team in a positive light through great follow-through skills and sound judgment.
- Assist with recruitment activities, including posting job openings, scheduling interviews, and communicating with candidates.
- Lead onboarding activities, including orientation training, office tours, team introductions, and check-in meetings.
- Coordinate training sessions, track attendance, and support logistics for employee development programs.
- Other duties as assigned by leadership.

Qualifications
Associate’s degree or equivalent experience in human resources administration. Proficiency with Human Resources Information Systems (HRIS) and Applicant Tracking Systems (ATS) is required; experience with ADP is a plus.

Legal Assistant
Summary:
As a Legal Assistant at BrownWinick Law Firm, you will perform a variety of administrative duties for assigned attorneys including drafting, proof reading, scheduling, reviewing email, developing to-do lists, tracking completion of projects, ghost-writing communications, planning, assisting with marketing efforts, docketing deadlines, handling internal and external communications, etc. A key to success in this role will be the ability to learn assigned attorneys’ practice and anticipate the assigned attorneys’ needs to help provide deliverables. You will be part of a strong team environment and work closely with other legal assistants. You will maintain positive contact with clients, attorneys, and staff and observe confidentiality of client matters.
Education/Experience:
Associate’s degree and 2-3 years of progressively responsible legal administrative experience. Proficient in Microsoft Office programs with speed and accuracy. Proficient with other office-related equipment.
Qualifications:
Exceptional organizational skills and acute attention to detail. Proficiency in multitasking, prioritizing assignments, and consistently meeting deadlines. Proficient in fostering productive collaborations and leveraging critical thinking skills to support the team and practice area.
Skill in devising efficient strategies to tackle challenges, particularly when faced with time constraints. Strong communication skills, both written and verbal. Familiarity with NetDocs (document management system), docketing software, and E-filing experience a plus.
